Minimum Qualifications
Bachelor’s degree in a related field; OR an Associate’s degree in a related field and one year of general office, secretarial, or administrative experience; OR three years of such experience.

This position requires that the incumbent will report to the official work location and live within commuting distance to the official work location. Telecommuting may not be available. If telecommuting is available, the incumbent will be required to have a telephone/mobile device, and internet access.

Preferred Qualifications
At least three years of experience providing administrative support to staff in an office setting. Experience working with databases, spreadsheets, and word processing software, including Microsoft Excel and Access. Experience with data entry and filing. Experience tracking office supply inventory and submitting purchasing requests. Demonstrated excellent attention to detail. Familiarity with medical information and handling confidential information. Experience handling telephone calls and interacting with physician offices or patients. Training and experience in racial justice and health equity.

Responsibilities
The Administrative Aide will assist with multiple administrative support aspects of patient contact research studies conducted by the Extramural Research Unit within the New York State Cancer Registry. The incumbent will initially focus on a large study of racial disparities in breast cancer aggressiveness and outcomes. Responsibilities will include coordinating all aspects of study mailings to physicians and patients, including ensuring addresses are accurate, conducting address searches and making database updates as needed, preparing files for mailing including mail merges for address labels, addressing and preparing envelopes for mailing, tracking responses received, and accurately updating study databases. Additional responsibilities will include maintaining inventory of study supplies and submitting purchasing and ordering requests as needed; coordinating with the mail room on study setup and processing of routine mailings; assisting with fielding phone calls from facilities, physicians, and patients; and assisting with maintaining project files and study tracking databases. The incumbent will also assist with quality control activities and other appropriate related duties as assigned.
