Minimum Qualifications
High school diploma or equivalent and four years of general office, administrative or secretarial experience.

 

This position requires that the incumbent will report to the official work location and live within commuting distance to the official work location. Telecommuting may not be available. If telecommuting is available, the incumbent will be required to have a telephone/mobile device, and internet access.

Preferred Qualifications
At least five years of administrative or secretarial experience. Experience in an executive office. At least six months of experience in an HIV program. Experience with/knowledge of e-mail systems, specifically Outlook, and electronic calendars. Experience with/knowledge of Word, Excel, and Power Point; scheduling and hosting virtual meeting platforms (i.e. Zoom, Microsoft Teams, WebEx). Experience coordinating large meetings, conferences or other forums. Experience organizing and prioritizing high volumes of work. Experience demonstrating independent work. Experience supervising staff. Office management experience.

Responsibilities
The Secretary II will serve as the primary secretarial support position in the Metropolitan Area Regional Office, AIDS Institute Executive Office while maintaining a high level of confidentiality. Specific duties will include: providing secretarial and administrative support to the Assistant Director, MARO, AI Executive Office; assist in developing office systems and providing secretarial support for the work flow; assist in developing follow-up systems; serve as liaison between the Assistant Director and AIDS Institute staff; serve as a first point of contact with Department executive staff, MARO, Associate Commissioner/Regional Director’s Office ensuring appropriate communication with Executive and other AIDS Institute staff; screen telephone calls, referring calls to appropriate staff, and responding to basic inquiries; coordinate complex executive schedules and calendars; assist in running and providing secretarial and administrative support in preparing reports and presentation materials;make complex travel arrangements for executive staff and assemble and coordinate background materials; and perform other appropriate related duties.
