At least five years of administrative or secretarial experience. Experience in an executive office. At least six months of experience in an HIV program. Experience with/knowledge of e-mail systems, specifically Outlook, and electronic calendars. The Secretary II will serve as the primary secretarial support position in the Metropolitan Area Regional Office, AIDS Institute Executive Office while maintaining a high level of confidentiality. Specific duties will include: providing secretarial and administrative support to the Assistant Director, MARO, AI Executive Office; assist in developing office systems and providing secretarial support for the work flow; assist in developing follow-up systems; serve as liaison between the Assistant Director and AIDS Institute staff; serve as a first point of contact with Department executive staff, MARO, Associate Commissioner/Regional Director’s Office ensuring appropriate communication with Executive and other AIDS Institute staff; screen telephone calls, referring calls to appropriate staff, and responding to basic inquiries; coordinate complex executive schedules and calendars; assist in running and providing secretarial and administrative support in preparing reports and presentation materials;make complex travel arrangements for executive staff and assemble and coordinate background materials; and perform other appropriate related duties.
