Overview

Jefferson Parish Human Services Authority (JPHSA) is a Local Governing Entity (LGE) created by the Louisiana Legislature in 1989. JPHSA is responsible for the management and operation of behavioral health and developmental disability Services in Jefferson Parish. JPHSA provides fully integrated primary and behavioral healthcare services through its JeffCare program.

JeffCare, a program of Jefferson Parish Human Services Authority, is a Federally Qualified Health Center (FQHC) comprised of two Health Centers. JeffCare’s goals are integration of primary care and behavioral health services to best serve the needs of the population; and, empowerment of individuals to achieve an improved quality of life through the provision of effective services, delivered in an environment of integrity and respect.

The Administrative Assistant position works as a team member of the Administrative Support staff and carries out the daily administrative support duties in the Health Centers. This position provides administrative support to the Site Managers at each Health Center depending upon the current assignments and need. The West Jefferson Site Manager directly supervises this position and the East Jefferson Site Manager may functionally supervise this position. This incumbent performs duties independently; is proficient in verbal and written communication with strong time management skills; has the ability to collaborate with others, and is flexible.

50% General Duties:

  • Receives and sorts incoming mail and packages daily. Notifies appropriate staff of packages received by way of email;
  • Files and scans faxes signed forms and other required documentation into the electronic health record (EHR) per JPHSA policy and procedure;
  • Distributes fax messages to appropriate staff daily;
  • As directed by Site Manager, initiates and creates letters, memos, emails, or other documents;
  • Accepts and implements special projects and tasks according to timelines approved by Site Managers and keeps supervisor apprised of progress;
  • Provides backup support to other administrative staff as assigned;
  • Responds to requests to compile periodic reports for analysis as needed;
  • Takes and produces accurate and complete minutes for committee, workgroup, and other meetings as assigned;
  • Answers telephone calls, utilizes customer service skills, and accurately records and forwards phone messages to appropriate JeffCare or JPHSA staff timely;
  • Utilizes distribution lists to route calls and messages to departments throughout JPHSA and JeffCare; and,
  • Uses basic problem-solving skills to assist individuals in resolving issues to avoid routing calls elsewhere.

    45% Records Management:

  • Ensures Health Center file/copy room and closed chart rooms are orderly and records handled per JPHSA policy;
  • Supplies charts/records to health center staff and other agency personnel upon request;
  • Pulls charts/records for scheduled individuals upon request;
  • Files charts/records daily;
  • Files loose documents into charts daily;
  • Maintains log of charts checked in/out of file room;
  • Prepares blank service recipient charts;
  • Prepares chart closures per JPHSA policy and procedure;
  • Shreds documents to be destroyed adhering to JPHSA policies and procedures.

5% Other Duties assigned within the scope of agency policies and procedures:

  • Participates in supervision per JPHSA Staff Development and Supervision Guidelines.
  • Participates in agency and professional training to enhance skill development, program effectiveness, procedural/policy compliance, and maintenance of an environment that ensures a recovery-focused approach.
