Position Summary

The MEL Administrative Coordinator is integral to advancing the MEL team mission to lead and partner with communities to ensure that community members are thoughtfully engaged and represented in equity centered evaluation and research. The MEL Administrative Coordinator works cross-functionally to support MEL projects from externally funded sources and LPHI lead initiatives. The MEL Administrative Coordinator is primarily responsible for the coordination of a wide variety of administrative, clerical, and program support activities of MEL in its services to LPHI and external stakeholders. The MEL Administrative Coordinator will work closely with other MEL team members, LPHI program staff, external partners, and community members to support the efficient execution of MEL Team projects and the fulfillment of contractual obligations. The MEL Administrative Coordinator also supports LPHI in the strategic advancement of its four priority areas: Racial Justice and Health Equity; Partnerships and Collaboration; A Healthier Louisiana; A Thriving Organization. The MEL Administrative Coordinator reports to the MEL Operations Manager position.

Minimum Qualifications

Master’s degree in social sciences, public health, or related field required
3+ years’ experience in grants and/or contract management experience leading teams
Experience developing project plans and managing timelines for cross-functional project teams, successfully implementing projects, and producing timely, high-quality deliverables
Experience using quantitative and/or qualitative evaluation and research methods
Experience developing project plans and managing timelines for cross-functional project teams, successfully implementing projects, and producing timely, high-quality deliverables
Experience working in partnership with community stakeholders, health systems, and/or academic institutions; strong partner relations skills
Experience fulfilling regulatory and legal requirements for research projects, including Institutional Review Board (IRB) requirements and Data Sharing and Use Agreements (DSUAs)
Experience with budget management and negotiation
Experience with proposal development processes
Primary Duties and Responsibilities

Administrative Support

Supports the MEL Team in the development of monitoring and reporting documents.
Assists with preparation, proofreading, and editing of outgoing correspondence.
Schedule and organize meetings (i.e., coordinate meeting times; create meeting agendas; take notes with action items/next steps including responsible party; schedule post-meeting debriefs and follow-up to track organization action items; etc.).
Develops an understanding of the programmatic areas and stakeholders to support administrative improvements.
Manages the calendars of the MEL Director. Responds to inquiries. Schedules meetings with internal staff and external partners. Exercises good judgment concerning the organization’s priorities and resources.
Maintain filing system, including a Resource Library and Archives.
Works with LPHI’s financial directors to track MEL expenditures, revenue, and invoices.
Coordinates travel arrangements for MEL team members and guests. Makes transportation and lodging reservations; prepares itineraries; compiles relevant travel documents; prepares and submits expense reimbursement forms.
Maintains files of relevant organizational and programmatic documents. Updates documents, as necessary.
Promotes continuous improvement by developing efficiencies and implementing enhanced processes.

Office and Service Coordination

Provide coordination of administrative functions for MEL, overseeing workflow, troubleshooting, and providing assistance where required.
Support MEL team in project-based work as requested.
Offers insights, fresh perspectives, or new ideas; elevates successes and strengths as well as opportunities for improvement.
Offer ideas on operational efficiency and office administrative best practices.
Perform general clerical duties (i.e., copying, mailing, scanning, filing, etc.)
Work with team to determine needed supplies, equipment, and services.
Work with LPHI’s communication managers to maintain the MEL webpage and social media postings, as needed. This includes ensuring that information is current.
Governance Support and Event/Special Project Management

Work with the MEL Operations Manager and other members of LPHI to manage governance processes for the organization.
Maintain a detailed knowledge of the governance processes and protocols.
Manage and coordinate teleconferences, meetings, trainings, and events as required.
Provide support and collaboration for special projects as required.
Perform other duties as assigned.

Salary/Benefits

Minimum starting salary of $42,000.00 dependent on education and experience.
