Works under the general supervision of the Operations and Business Services (OBS) Unit Manager for the Division for Regional and Local Health Operations (RLHO), with guidance from the RLHO Staff Services Officer Team Lead. Performs senior-level administrative support and technical assistance work for the RLHO Office of the Associate Commissioner (OAC), also known as RLHO Division Office. Performs receptionist duties, answers and routes phone calls; monitors Division email boxes to triage inquiries; greets and directs visitors; inventories office supplies; enters purchase requisitions in the CAPPS Financials system; and performs general front desk, administrative, and office tasks. Serves as an integral part of the foundation of the RLHO Division which represents one-third of the Department of State Health Services. Requires strong, professional communication skills, as this position is often a first point of contact for the RLHO Division. Coordinates, prioritizes, and tracks multiple tasks and deadlines which requires strong attention to detail, independent thinking, time management skills, initiative, and reliable follow-up to ensure that tasks and assignments are completed accurately, timely, and with high quality. Requires knowledge and use of proper English, spelling, grammar, and punctuation for all written and verbal communication. Provides support to the RLHO Associate Commissioner, RLHO Deputy Associate Commissioner, Director of Public Health Nursing, Data Analytics and Information Unit Manager, Regional and Local Coordination Unit Manager, and the OBS Unit Manager, as well as other OAC staff. Manages schedules and calendars, plans meetings with internal and external partners, and processes travel reservations and reimbursements. Provides administrative support for OAC staff by assisting with all aspects of internal and external meetings, special workgroups, and committees within RLHO. Assists with scheduling and coordinating interviews and with new employee onboarding activities. Maintains and coordinates updates for RLHO distribution and contact lists in a database. Generates and ensures distribution of weekly Division update emails, completes and coordinates other administrative assignments, and assists with coordination of records retention activities. Understands and is knowledgeable of office practices and administrative policies and procedures. Communicates effectively and in a professional manner with internal and external partners. Works under limited supervision with moderate latitude for the use of initiative and independent judgment. This position is required to work Monday – Friday, 8:00 a.m. to 5:00 p.m. This position may be required to work outside of normal business hours to assist with phone coverage during legislative sessions or during emergency response situations.
Dependent on workload demands and needs of Division Leadership, this position may be considered for partial telework if the employee meets HHS and DSHS Telework Policy criteria.
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. This position is required to work Monday – Friday, 8:00 a.m. to 5:00 p.m.
